St Francis Hall- Rate and Terms
The church hall of St Francis’ church is a valuable resource not only to the church but
to the parish they serve. They provide a space for Christian worship and celebration, a source of income and a meeting point for many groups within the community.
The Parochial Church Council (PCC) has agreed that the church halls may be hired for events and activities
where they are consistent with the purpose of the church
The PCC may refuse bookings without stating a reason and may cancel bookings if exceptional or unforeseen circumstances arise. In this event all fees will be returned

- Hire charges and deposit
The hirer must complete a booking form and pay the deposit to confirm booking and pay the hall charge at least 7 days before the hire period. The booking is reserved when the booking form and deposit are received by the hall booking manager. The deposit for cleaning/damage is £40
The PCC reserves the right to retain all or part of this sum to cover any damage caused and any cleaning or for removal of rubbish costs.
Damage to fittings, furniture or equipment must be reported to the hall bookings manager immediately

The church and church meeting room hire with the consent of the clergy only usual charge £15 per hour
All hire periods MUST end no later than 11pm
Care of building
- Care of building
The hall, kitchen and toilets must be left in a clean and tidy state, Chairs must be stacked and tables and equipment returned to their original places.
The floor MUST be swept and toilets flushed before leaving the hall
Cleaning equipment can be found in the cupboard in the entrance hall, cleaning materials and rubbish sacks are under the sink in the kitchen
All rubbish must be removed from the site
Reasonable care must be taken of the building, equipment, furniture and fittings.
Nothing is to be fixed to the walls, floors or ceiling
Blu-Tak may be used on the woodwork but all items must be removed at the end of the hire period.
- Security
The hirer must ensure that windows are locked, lights switched off, water taps turned off, heating returned its original setting and doors locked before leaving the site and that the keys are returned to the hall booking manager or to the key safe
- Storage
The PCC cannot provide storage unless agreed with the hall booking manager a charge may be made for storage if it is available
All items must be removed at the end of each session of hire. Items are left are at the owners risk.
- Lost property
The PCC accepts no responsibility for private property left on the premises at any time Items found are kept for one month
Conduct
- Conduct
The churches and halls are located in residential areas and the PCC places great importance on maintaining excellent community relations, especially with its immediate neighbours.
The hirer is responsible for the conduct of every person on the premises during the hire period.
Users of St Francis church hall may use the grassed area in front of the hall but NOT the area to the front of the church or outside the fire exit door.
The hirer must ensure that noise from any event or activity in the church hall does not disturb other activities within the building or inconvenience occupiers of nearby premises.
Noise from the building must not be heard beyond the boundary fence after 10.30pm
All hire periods must end no later than 11pm
- Alcohol
Alcoholic drinks may only be consumed by prior arrangement with the hall booking manager
Alcoholic drinks must not be sold
- Smoking
Smoking is not permitted on the premises.
- Child Protection/vulnerable adults
The hirer of regular group bookings must ensure that there is a current child protection and/or vulnerable adult protection policy and risk assessment in place. Leaders of groups for children or vulnerable adults must have current DBS certification
- Health and safety
It is the hirer’s responsibility to comply with current health and safety regulations and have insurance to cover public libility
All food must be handled safely and hygienically in accordance with the relevant health and hygiene legislation and regulations including the Food Act 2006
- Capacity
The number of people on the premises must not exceed 80
- Electrical equipment
The hirer must ensure that any electrical equipment brought by them to the premises and used there is safe, in good working order and used in a safe manner. Any equipment brought into the building must be effectively earthed and fitted with a 3 pin 13amp plug fused at no more than 13amps and PAT tested
- Accidents
Any accidents involving personal injury must be recorded in the Accident book located with the First aid box in the kitchen cupboard next to the door into the hall
Serious injures must be reported to the hall booking manager.
Please note that some of the berries in the church garden are toxic. Children must be supervised to ensure they do not eat these berries
- Fire
Fire exits must not be obstructed at any time
The hirer must be familiar with the current fire regulations, fire exits and appliances.
A whistle is on the notice board which may be used to signal the need to evacuate
Fire fighting equipment should only be used in a genuine emergency
The hirer agrees to call the Fire and Rescue Service for any outbreak of fire, however slight, and report the incident to the hall booking manager.
Highly flammable substances are not permitted in the hall.
Care must be taken if candles are used.
15, Insurance
Insurance against third party claims during the hire period is the responsibility of the hirer
The hirer must arrange for any necessary copyright permission
- Group bookings
All leaders must be DBS checked and have relevant and appropriate insurance
Evidence of charitable status must be provided when booking
- Right of entry
The PCC reserves the right to enter any part of the building at any time.
